Administrative Positions

This position is a 3-day/week position during the school year and two half days through the summer. 

Mission and Purpose 

An Administrative Assistant at Allendale Christian School is a full supporter in the school’s mission to equip students academically, spiritually, and socially to gratefully serve God in all aspects of life. At ACS, we see an Administrative Assistant who possesses a servant’s heart, models Christian behavior, supports fellow staff members, and is intentional about cultivating positive relationships with the school community, and those who have business relationships with ACS.

The Role and Function of the Administrative Assistant

A. Christian Faith 

  1. Has a living, personal relationship with Jesus Christ
  2. Displays Christian beliefs and principles in personal and professional lifestyle and character
  3. Has a spirit of Christian service
  4. Reflects a spirit of Christian love when dealing with students, staff, families, and others
  5. Is in agreement with and supportive of the Faith Statement of Allendale Christian School

B. General Duties and Expectations 

  1. Establish and maintain a positive working relationship with students, staff, families, and others that have a relationship with ACS.
  2. General office functions: Greet visitors, answer phone calls, distribute messages
  3. Perform administrative work with a confidential nature
  4. Provide support for staff and community members
  5. Assist faculty and parents with problems or concerns in a confidential nature
  6. Compile and maintain a variety of physical and digital records for students (immunization records, transfers, emergency records, concussion forms, etc.)
  7. Take daily attendance (Infinite Campus) and follow-up regarding reasons for absences
  8. Communicates with a wide variety of stakeholders (staff, current and future parents, Board, PTA, Grandparents, etc.) and various agencies through emails, phone calls, mailings
  9. Assist Head of School with finding substitute teachers and paraeducators (when needed)
  10. Prepare general bank deposits for incoming funds and write checks as needed
  11. Provide invoices for the Head of School to approve, mail out payments and file receipts.
  12. Order and distribute materials (office and instructional supplies, etc.)
  13. Create and/or run reports as needed, or requested, by Administration
  14. Order diplomas and Bibles for graduation, create the Graduation program
  15. Maintain records of security door codes, key fobs, and keys
  16. Update and monitor messages on digital sign by road
  17. Attend August Open House and January Early Childhood Night
  18. Assist Director of Learning and Head of School with end of year check-out
  19. Complete Summer Checklist
  20. Keep office clean and organized
  21. Work with fellow Administrative Assistant with cumulative file maintenance
  22. Additional duties assigned by the Head of School

C. Advancement/Communication Duties 

  1. Maintain accurate Donor Database Information, with a focus on confidentiality
  2. Input gifts, pledges, new constituents, and other information into Donor Database
  3. Provide appropriate receipts for donations
  4. Organize various reports for use by the leadership team and/or board of trustees
  5. Assist in communication with constituents including email, physical mail, and phone calls
  6. Provide support for Director of Community Engagement 

D. Community Relations Duties 

  1. Prepare and email weekly News and Notes newsletter
  2. Work with Marketing and Communications Specialist with necessary community announcements
  3. Schedule student pictures
  4. Reporting for the Ottawa County Health Department 

E. Board/Staff Support 

  1. Create sign-ups for parent-teacher conferences, lunch coverage, and provide support for planning special events when needed
  2. Register and organize School Spelling Bee
  3. Provide support in organizing and communicating after-school activities (Robotics, etc.)
  4. Communicate with the Chair of the Board of Trustees to compile Board’s monthly agenda packets through Google Drive
  5. Maintain, organize and update Board documentation and calendars
  6. Update Policy Manual and Handbooks as needed
  7. Distribute materials to the Board of Trustees as directed by the Head of School or Board Chair
  8. Work with Marketing and Communications Specialist to compile and distribute the annual society meeting packet
  9. Prepare TRIP distribution on a quarterly basis, print reports and send checks accordingly

Qualifications 

  • Experience in a similar position (3+ years preferred)
  • Able to multitask
  • Proficient with Google Suite Basic Edition
  • Proficient with Microsoft Office applications (especially spreadsheets)
  • Able to efficiently use spreadsheets to create reports and charts
  • Ability to communicate effectively and positively with parents, students and a variety of people and personality styles
  • Eager to promote ACS to the broader community
  • Administrative Experience is strongly preferred

Work Period: July 1 – June 30 

Compensation: Part-time position, hourly with limited insurance and retirement benefits.

Educational Faculty Positions

Candidates should have a deep love for Jesus, an understanding of teaching from a Reformed worldview, and a passion for working with kids to equip them academically, spiritually, and socially to gratefully serve God in all aspects of life.  We are accepting cover letters and resumes for the following positions for the 2025-2026 school year:

This position is for a 4-day, kindergarten class and begins at the end of February/early March until the end of the 2026 school year.

Candidates should

  • Have a deep love for, and personal relationship, with Jesus Christ.
  • Desire to support and promote Christian education.
  • Have a passion for working with kids to achieve the mission of Allendale Christian School.
  • Possess, or be a candidate for, a Michigan Teaching license.
  • Possess the ability to clearly communicate, and maintain positive relationships, with different stakeholders.
  • Teaching experience is required.
  • Early childhood experience is strongly preferred.
     
Education Requirements
  • Must have a degree in education, or be near completion of a degree in Education.
  • Must hold, or be a candidate for, a Michigan Teaching License.

Support Staff Positions

This position is typically from 3-6 p.m., Monday–Friday, though the final number of days per week is TBD.  This is a great job for a high school student (age 17 is acceptable, but 18 is preferred), college-age student, or an adult looking for some part-time work.
